The UK GDPR also ensures that we look after any sensitive personal information you may disclose to us appropriately. This type of information is called 'special category personal information'. The lawful basis for us processing any special categories of personal information is for providing health treatment (in this case, therapy) and a contract with a health professional (in this case, a contract between your therapist and you).

How we use your information

Your personal information may be used for the following purposes:
 
Therapy Services

  • To assess, plan, and provide therapy

  • To maintain accurate clinical records

All therapy information is treated as confidential and is not shared with third parties.

Confidentiality may only be broken if your therapist believes there is a serious risk of harm to you or someone else. Wherever possible, this will be discussed with you first unless safeguarding concerns prevent this.
 
Your therapist may keep written or electronic notes of sessions. Email correspondence that is not clinically relevant will be deleted after six months.
 
Once therapy has ended, records are kept for seven years from the end of the contract and then securely destroyed. You may request earlier deletion where legally permissible.
 
Clinical Supervision
 
To ensure safe and ethical practice, therapists are required to attend clinical supervision. During supervision, aspects of your therapy may be discussed without any identifying information. Your identity will remain anonymous, and supervisors are bound by the same professional confidentiality standards.
 
Billing and Administration

  • To issue invoices and process payments

 
Communication

  • To contact you about appointments, reminders, or therapy-related matters

 
Service Improvement

  • To review and improve the quality of our services using non-identifying information

How we store and protect your data

Your personal data is stored securely using encrypted systems. Access is restricted to those who need the information to provide therapy or manage the service.
 

  • Therapy notes are stored electronically and securely

  • Information is never shared with third parties

  • Emails unrelated to therapy are deleted after six months

 
After therapy ends, records are retained securely for seven years in line with legal and ethical requirements, then permanently destroyed.

Your data protection rights

You have the following rights under UK GDPR:

  3. Right to erasure – to request deletion of your data in certain circumstances
